Resident's Handbook
Introduction
Welcome to Tollendale Village, a Christian Retirement Community. We trust that you will enjoy your new home, and that you will soon feel part of this vibrant and caring Tollendale community.
To assist you in understanding more about the community and what is available as well as what is permitted, we have prepared this Residents Handbook.
This handbook is meant to be read along with and complement the Tenancy Agreement that you signed when you moved into Tollendale Village. It elaborates on and further defines the obligations of both the Resident and Tollendale Village.
Please take the time to read this Handbook thoroughly and have it close by at all times. Hopefully it will answer most questions and clarify our policies in regard to many matters as you settle in. Should some of your questions not be answered in this document please feel free to contact the Administration office at any time during regular office hours.
Organizational Structure
Tollendale Village is operated by Simcoe County Christian Senior Home Inc. SCCSHI is a non-profit Registered Charity, and is membership based. The members elect the Board of Directors and set the overall policy and direction of the organization. Currently SCCSHI has in the order of 300 family members. Tenants are encouraged but not required to be a member of SCCSHI. Currently the annual membership fee is $50.00 per year, or a lifetime membership can be taken out for $500.00. Please contact the office for an Application package.
Suggestions and Comments
Please direct any suggestions, comments or concerns to the Executive Director in the administration office. The Board of Directors should only be contacted after all attempts to resolve a concern with the Administration have failed.
Fire Emergency Procedures
In the event of a Fire Emergency, please follow the following procedures: Garden Home Residents
- Close the windows and doors to the fire area
- Call 911 and report the fire
- Locate a staff person and report the location of the fire
- Follow the staff persons instructions to move away from the immediate fire area
- If you discover a fire, leave the fire area immediately
- Call 911 and report the fire
- Sound the nearest fire alarm
- Leave the building via the nearest emergency exit
- If you hear the fire alarm, leave the building via the nearest emergency exit
- Take your room key
- Close the door behind you
- If smoke is heavy in the corridor areas, it may be safer to stay in your area, close the door and place wet towels at the base of the door

Secure Entry System and Keys
The apartment buildings have a secure entry system. The front door can only be opened by someone with a key or by someone inside the building. A visitor must use the enterphone system and have a resident open the door for them. In order to ensure the security of all residents it is imperative that residents DO NOT open the door for someone they do not know even if they appear to be friendly and harmless. Should a visitor wish to contact the office and the office is closed, they should not be let in by a resident unless accompanied by the resident at all times.
All tenants are entitled to two keys for their apartments as well as for the secure entry system to the apartment buildings. A deposit will be required for any additional keys.
Keys for the secure entry system cannot be copied, and any additional keys must be requested through the Administration office.
Please ensure that only those individuals in whom you have complete trust have a copy of any key.
When you vacate your unit, all keys must be returned to the office. A fee of $25 will be charged for each building key not returned.
Mail Delivery and Mailboxes
Mail is delivered by Canada Post to the central mailboxes located in the foyer of the apartment buildings. Please ensure that all correspondence addressed to you contains your unit number. The address for any resident of Tollendale Village must be similar to the following:

Please do not use a letter in front of your unit number for mailing purposed (e.g. A101;B101;C101;D101). The letter in front of your unit number is for internal use only.
Mail may also be sent from Tollendale Village without leaving the site. There is a mail slot located in the mailbox area. The mail is usually picked up by 9:00AM Monday to Friday. To ensure your mail gets picked up that morning, please have it in the box by 8:30AM.
Nursing Services
Tollendale Village provides some basic nursing services. Our nursing staff is available on a part-time basis to assist residents with such things as:
- Health teaching
- Emergency response during working hours
- Blood pressure and weight monitoring
- Assistance with blood sugar monitoring
- Liaison with community agencies and services such as Community Care Access Centre, Alzheimer Society, private home care, physiotherapy
- Resident and family consultations
- Physician consultations if required
- Selective medication assistance and supervision
The nurse on schedule can be reached at 726-1213.
For an additional fee, residents have the choice to activate the Nurse Monitoring system located in their unit. This system consists of a speech module in every suite, and a pull cord in every room (Garden Homes and Eden Hall), or a pendant that is worn (Bethany Gables, Trinity Woods, and Sonrise Place). Should a resident require medical assistance at any time, the cord is pulled (or pendant pushed), which then activates the speech module. The individual at the monitoring station can speak directly to the resident to inquire as to the nature of assistance required. They will then contact and dispatch the required emergency response team. For further details on the operation of the system, please contact our nursing staff.
There are also speech modules located throughout the complex for emergencies.
Rental and Maintenance Fees
Under the requirements of the Tenancy Agreement, all residents must pay their monthly occupancy costs on the first day of every month. As our preferred method of payment and for the convenience of our residents, we have a Pre - Authorized Payment Plan, which allows the monthly payments to be automatically deducted from their bank accounts. Any resident that wishes to participate in this plan will be requested to complete the appropriate authorization form. Those that do not participate are requested to provide 12 postdated cheques at the beginning of every lease period.
The resident's monthly occupancy cost includes a component for maintenance of the building and grounds. This maintenance fee covers the cost of heating, air conditioning, hydro, taxes, building maintenance, building insurance, garbage removal, snow removal, lawn maintenance, administration etc. This fee will be reviewed annually and adjusted if necessary to reflect actual costs incurred in any of the above items. Residents are reminded that Tollendale Village is a non-profit registered Charity, therefore no "profit" is built into these costs, and it is the objective of the Board of Directors to keep these costs as low as possible.
Any adjustments to these fees will occur once a year on a date specified on your Tenancy Agreement.
Lease Termination
Should any resident wish to terminate their lease for any reason other than death or illness which would require another type of accommodation, the lease documents require that you must give at least 60 days written notice prior to the end of the lease period. In the case of death or illness, you or your estate will be responsible for all rental, maintenance fees, Cable TV charges and Nurse monitoring fees (if applicable) for a period of 60 days from the date of death or moving out.
When vacating your unit, you or your estate are responsible to leave it in a clean condition, appropriate for the next tenant. Any wallpaper, which you may have put up on the walls, must be removed, unless the next tenant finds it acceptable.
You or your estate are also responsible to make whatever arrangements are appropriate regarding the floor covering you supplied and installed. You may decide to sell it to the next tenant, however if the next tenant does not wish to purchase it, you are responsible to have it removed when you vacate your unit. If you wish our staff to remove and dispose of it, there will be a charge of $100.00 for a one bedroom apartment, $200.00 for a two-bedroom apartment and $300.00 for a Garden Home.
One of our staff members will inspect the unit with you or one of your family members after you have moved out and should there be deficiencies, the cost of any work to rectify them will be deducted from your last months deposit prior to refunding it to you.
Games and Activities Rooms
In the basement level of Eden Hall is a Games and Activities room. This room is for the use of all residents of Tollendale Village and their guests. Please leave the room in a neat and tidy condition when finished with your activities. Any children MUST be accompanied by an adult at all times. Please refrain from taking food and drink into the room, and special care should be taken with drinks etc. in the areas of the pool tables. Much effort has been put in to refurbishing some of the equipment and it would be unfortunate if it were damaged due to the careless handling of food and drinks. The room must be vacated by 11:00PM in the evening.
Workshop
Also in the basement of Eden Hall is a fully equipped workshop. It may be used by any resident of Tollendale Village. Those using the workshop are reminded to employ safety measures when using the tools and power equipment. SCCSHI and Tollendale Village assume no liability for any damage or injury caused by the use of the tools and equipment.
Meeting Room Rental
On the basement level of Eden Hall is a multi-purpose meeting room. This room is used for a variety of activities including chapel services, craft groups, coffee socials, presentations etc. It is also available for rent by any resident of Tollendale Village. The Board of SCCSHI has established the following policies regarding the rental and use of the Meeting Room at Tollendale Village.
General Statements:
- All activities or events which take place in any of the facilities at Tollendale Village, including the meeting room located in the basement level, must be in harmony with Christian principles on which Tollendale Village is founded.
- All Visitors should respect the Christian Values which are evident among the residents and conduct themselves accordingly.
- Use of the Meeting room must not greatly interfere or detract from the enjoyment of the premises at large by the many residents who live in the complex.
Specific Policies:
- The meeting room is only to be rented for activities that are organized by the residents or which permit the residents to participate, or which otherwise are of clear interest to the residents.
- Memorial services will be permitted, however formal funeral services may not be conducted in the Meeting room.
- The serving of wine will be permitted at banquets, receptions, anniversaries, and other functions. The wine must be consumed in the room and not in the corridors, lobbies etc. A liquor license must be obtained and submitted to the Administration office at least five days prior to the event. No other alcoholic beverages will be permitted.
- Public dancing is not permitted in the meeting room. The room is carpeted and not suited for such activities.
- The group renting the room will be responsible to arrange the furniture and to replace it to its original location when leaving. They will also be responsible for cleaning and vacuuming the room prior to leaving. Should this not be completed satisfactorily a cleaning fee will be deducted from the damage deposit.
- A damage deposit of $100.00 is required for each reservation and is due at least five days prior to the event. This will be returned within five working days of the event, subject to an inspection.
- The organizers shall designate a person who will be accountable for the event and who would respond to concerns expressed by Tollendale Village. This designate is also responsible for monitoring access to the building. The apartment building is a secure building and the front doors must remain secure at all times. This may require someone to be present at the front door to allow access and egress for visitors to the function. The designate will also be responsible for ensuring visitors park in designated visitor parking areas, and not in areas reserved for residents.
- There is no smoking permitted inside or in the underground parking garage. Those who wish to smoke must go outside and please be sure to use the butt stops located at the entrace of the building.
- There are no candles permitted in the meeting room.
- The room must be vacated no later than 10:00PM on the night of the rental.
- Any music or other sound system must be kept turned down so as not to inconvenience the tenants residing above the meeting room.
Fee Schedule:
Damage Deposit: $100.00
Rental Fee: $ 50.00 for 6 hours or less
$ 75.00 for more than 6 hours
Visitors
We recognize that our tenants will have visitors from time to time. Please ensure that your visitors park in the designated visitor parking areas. The visitor parking area in front of Eden Hall is for visitors of Eden Hall and the Garden Homes only. If your visitors are staying overnight, please ask your visitors to put your apartment number on a paper in the dashboard of their car.
Should your visitors include children, please ensure that they are accompanied at all times by an adult when outside of your suite. Running and playing in the lobbies, hallways and stairways is prohibited.
Riding of bicycles, skate boarding and roller-blading are not permitted on the sidewalks or other pedestrian areas around the village. As most of our residents are elderly, and not as agile as they used to be, only pedestrians are permitted in those locations.
Pets
Please note that effective immediately it is our policy to no longer permit people to move in with dogs. The only exception to this rule will be service dogs for people who are visually or hearing impaired. Residents that currently have dogs will be able to keep them and must follow the following rules.
- When outside of the apartment, either in the hallway or outside on the patio/balcony or any where on the grounds, the pet must be on a leash and attended to by the owner.
- The pet may not defecate or urinate on any of the sodded or landscaped areas. We have staff continually maintaining these areas and it is important that they work in sanitary conditions.
- Should your pet defecate anywhere on the grounds you must abide by our "poop and scoop" policy.
- Excessive barking by dogs cannot be tolerated. Should we receive complaints from other tenants, we may find it necessary to speak with you about that matter.
Vegetable Plots
Tollendale Village has 40 vegetable garden plots available for our residents. They are located behind Garden Homes 13 to 20. There is no charge for the use of these plots, however they are assigned on a first come, first served basis. Any resident that wishes to reserve one of these plots should contact the office and if any are available, one will be assigned to you. Prior to the Village being completed in its entirety, some residents may have the use of two or more plots. The additional plots assigned can only be confirmed on an annual basis, and should another resident wish to reserve the additional plot, it must be made available to the other resident for the next growing season.
Those using the garden plots must supply all their own tools and equipment. The plots must be kept free of weeds at all times. Should weeds on any plot become excessive, the resident will be advised and if the situation continues, the plot will be re assigned to another resident on the waiting list.
When accessing the plots, residents must stay on the pathways provided and at all times respect the privacy of the residents in the Garden Homes adjacent to the garden plots.
Additional Fixtures, Appliances and Alternations
Pictures, mirrors, ornaments, and other wall hangings may be hung on the walls, provided the hangers used are approved by Tollendale Village.
Residents are also permitted to install draperies, decorate the premises (paint and wallpaper) and remove and replace existing light fixtures. Any wallpaper used must be dry strippable and removed when the unit is vacated.
Residents in the apartment buildings are not permitted to install additional heating appliances without the permission of Tollendale Village. Additional electric circuits may not be added, and residents should ensure they do not overload any existing circuits. Residents living in the Garden Homes may request permission to install additional electrical circuits in their unit.
Residents may, at their own expense, install a dishwasher in their unit. Upon vacating the unit, the dishwasher becomes the property of Tollendale Village.
No alteration may be made to the interior or the exterior of any apartment or Garden Home without the consent of Tollendale Village. This includes any alterations to the landscaped areas outside your unit. Upon termination of the lease, Tollendale Village may require the resident to restore the unit or the landscaping to its original condition. If this is not required, any improvements carried out will become the property of Tollendale Village and no compensation will be provided.
Balconies and Patios
Appropriate balcony and patio furniture as well as presentable flower pots/baskets may be placed on the balconies and patios. Barbeques are not permitted on the apartment balconies; however they are permitted on the rear patios of the Garden Homes.
No aerial, satellite dish, awning, clothesline, drying rack, or any form of enclosure may be placed on any exterior portion of any building or on or about the exterior patios or balconies.
No hanging or drying of clothes or any storage is allowed on any patio or balcony.
Window Cleaning
All residents are responsible for cleaning the inside panes of all windows and doors of their living units. In the Spring of every year, Tollendale Village will arrange for an outside contractor to clean the exterior of all windows and sliding doors.
Snow Removal
It is the responsibility of Tollendale Village and its staff/contractors to remove all snow from the public roadways, sidewalks and driveways and front porches of the Garden Homes. Our staff would appreciate any assistance from those Garden Home residents that are able, in removing snow from their porches and front walks.
Staff are not responsible for clearing snow from any private vehicles.
Storage Lockers
Storage lockers are available for rent in the basements of each building. Contact the office for availability and rental rates. Residents are required to supply their own locks. No toxic, explosive or odorous substances may be stored in any locker. Tollendale Village will not be liable for any damage, loss or theft to any of the Residents goods stored in the storage lockers.
When any resident vacates their apartment, the storage locker must also be cleared out and cleaned. Should items remain in the locker after the apartment is vacated, Tollendale Village reserves the right to dispose of any items found and to charge the vacating tenant for any costs incurred.
Garbage Disposal and Recycling
All garbage is to be disposed of in appropriate containers. Loose garbage must be contained in garbage bags and tied properly. Garden Home residents need to place their waste at the curbside on Monday mornings before 8:30AM. Should Monday be a Statutory Holiday, the garbage will be picked up on the Tuesday.
Apartment residents shall dispose of their waste through the garbage chute in the Garbage Rooms located on each floor.
All recyclable materials must be placed in the appropriate containers stored in each garbage room. Separate the recyclables into the two containers provided. The container bin is for plastic containers #1-#7, food and beverage cans, aluminum trays, pie plates, foil, glass bottles and jars, tetra pak boxes, milk and juice cartons. The paper bin is for newspapers, household paper, junk mail, telephone books, magazines, catalogues, and egg cartons.
Cardboard must be flattened and tied, and deposited in the designated container located in the Garbage room on the basement level. Cardboard must NOT be left in the garbage rooms on each floor.
Laundry Rooms
Each of the Garden Homes has their own washer and dryer. In phases 3 and 4 apartments larger than a thousasnd square feet have a rough in for a stacked washer and dryer in the storage room. All residents in the apartment buildings who do not have a washer and dryer in their unit are to use the laundry rooms located on each floor. Washers and dryers are not permitted in apartment units that do not have a rough in without express written permission of Tollendale Village.
When using the dryers it is important to clean the lint filters before every drying operation to ensure the best efficiency of the dryer. There are two filters that need to be cleaned; the filter inside the dryer, as well as the filter on the wall. Please ensure both filters are cleaned.
Please leave the laundry rooms in a neat and tidy condition after completing your laundry operations.
Cable TV
All units are equipped with Cable TV. All residents are obligated to subscribe to Rogers Cable TV as Tollendale Village has a bulk agreement with Rogers. This bulk agreement allows us to provide Cable TV at a significant discount. The current charge to our tenants is $31.04 per month for Rogers Ultimate TV Pak. (This compares to the regular cost of about $53.00). Payment must be made to Tollendale Village at the beginning of every month and is combined with the regular monthly rental/maintenance fee payments.
Should a resident wish to arrange for optional services from Rogers Cable (i.e.: Internet on Cable etc.), they must make these arrangements directly with Rogers.
Substance Use and Smoking
Residents may have and consume alcoholic beverages in their units. If substance abuse by a resident results in noise, disturbance or damage to the premises, Tollendale Village will require the resident to practice control, and if such should continue, the resident may have their occupancy terminated in accordance with the Tenancy Agreement. Alcohol may not be consumed outside the resident's personal unit or on the premises and lands belonging to Tollendale Village.
Smoking is recognized as a primary cause of lung cancer and is a serious health hazard to any individual who smokes and, equally as much, to any non-smoker who may be exposed to second hand smoke. The apartment buildings are designated as a non-smoking environment and therefore smoking will not be permitted for any reason outside the resident's personal premises or on the premises and lands of Tollendale Village within nine metres (30 feet) from any entrance or exit to any of Tollendale Village's apartment buildings in accordance with the Tobacco Act.
Bulletin Boards and Advertising
No sign, advertisement, poster or notice shall be inscribed, painted or affixed on any part of the inside or outside of the building whatsoever.
Any notices must be placed on the bulletin boards provided and only after approval by the Administration office.
Christmas Trees and Decorations
To minimize any fire hazards, only artificial Christmas trees are permitted inside any of the buildings of Tollendale Village or on any patios and balconies.
Any exterior decorations must be kept to a minimum and tastefully done and can be in place no sooner than December 1st and must be removed by January 15th.
Photocopying
Should residents require a photocopy, they should contact the office staff for assistance. Residents are not permitted to use the office photocopier without permission. Tollendale Village may charge for any photocopies in accordance with the rates published.
Parking
All residents who reserve a parking space will have one assigned and must at all times use the assigned space and no other space. No parking is permitted on the roadway around the building as this is a designated Fire Route, and must be kept clear of vehicles at all times, unless previous arrangements have been made for deliveries, moving etc. For visitor parking please see the Visitors section of the Resident's Handbook.
Those Residents who have reserved a space in the underground garage are reminded to never manually trip the opener by pulling on red cord. Should the door not open automatically, please contact the Maintenance Manager.
Car Washing
Residents are permitted to wash their cars at the car washing bay in the underground parking garage. Should a resident not have a parking space reserved in the garage, they can obtain access to the washing bay by contacting the Administration Office. Garden Home Residents may wash their vehicles at their units.
Moving In/Out
Residents moving into or out of Tollendale Village must make arrangements at least two weeks in advance with the Administration office to ensure there is no conflict with other activities and, for those in the apartment buildings, to ensure an elevator will be available.
Moving and appliance carts are available from the Maintenance Manager.
No moves will be allowed on Sundays.
Any new Resident must examine their suite before taking possession thereof and unless the Resident furnishes Tollendale Village with a notice in writing within 10 days of moving into the unit, of any defect in the construction or condition of the unit, then the new Resident shall be deemed to have examined the premises and to have found them in good order.
Heating and Cooling
The Garden Homes are equipped with their own independent heating and cooling systems, and Garden Home Residents are encouraged to practice energy conservation when using these appliances. Should you be vacant from your unit for an extended period of time, please set the thermostat to minimize the use of energy.
For Apartment building residents, they also have the ability to adjust the temperature within their units subject to one condition. The apartment buildings have a central heating and cooling system, which cannot be operated simultaneously. In the late Spring of each year the heating system will be shut down and the cooling system activated. At that time heating will no longer be available. Similarly, in the early fall the cooling system will be shut down and the heating system activated, after which no air conditioning will be available.
Residents are reminded to keep their windows and doors closed when using either of these systems to conserve energy.
Repairs, Maintenance, and Alterations
Tollendale Village may require entry to a resident's unit to carry out maintenance, repair or alterations to the unit. Staff will attempt to give at least 24 hours notice prior to entering the unit, except in the case when repairs are of an emergency nature, when Staff may need to enter the unit without any notice.
Residents are encouraged to take good care of their unit and to keep their unit in a clean and good condition. Any repairs required as a result of damage due to accidents, pets etc, shall be repaired as soon as possible after the damage has occurred. The Resident should inform the Maintenance Manager of any damage which has occurred or of which he becomes aware.
Noise and Disturbances
Tollendale Village is a community of residents and everyone is encouraged to respect the privacy and comfort of their fellow residents. No excessive noise of any kind which may calculated to disturb a fellow resident will be permitted.
Organs, pianos, violins or other musical instruments should not be played after 10:30PM. The sound of record or CD players, televisions etc., should be maintained at a level, which is sufficiently reduced so as not to disturb the comfort of any other resident.
Garage and Yard Sales
Residents are not permitted to hold private or individual yard sales on the premises of Tollendale Village. This does not prohibit the Residents as a group to organize an annual event to raise funds etc, for improvements to Tollendale Village, however arrangements must be made with the Administration office.
